Clearance is the process of confirming that an individual has fulfilled all institutional or departmental obligations — such as returning borrowed items, settling fees, or submitting required documents — before officially leaving or graduating.

All students, staff, or interns who are completing their studies, resigning, transferring, or finishing a contract are required to complete clearance before receiving final documentation (e.g., certificates, transcripts, or pay)

You should begin clearance at least a few weeks before your final day, graduation, or end of contract. Starting early helps avoid delays due to pending issues in departments

National ID or student/staff ID Clearance form (official template) Library clearance confirmation Finance department receipt or statement Departmental approval or signature ICT or property return form (if issued equipment)

You cannot be cleared until all pending issues (such as unpaid fees or unreturned property) are resolved. The clearance form will not be signed until obligations are met.
